🎱 BilliardHutch Live™

Privacy Policy

Effective: August 26, 2026

BilliardHutch Live is a billiards and cue-sports streaming, player, league and tournament platform. This policy explains the information used to operate the service and the choices available to users.

Information used by BilliardHutch Live

Account information. When an account is created, Firebase Authentication processes the email address and authentication credentials needed to sign in. Passwords are handled by the authentication provider and are not placed in the public BilliardHutch player directory.

Public player and team information. A player may provide a display name, BilliardHutch player ID, city, state/region, country and team information. These fields are used for player search, tournament registration, match assignments, schedules and standings.

Competition information. The service may process tournament registrations, match assignments, tables, opponents, scores, match status, league results, standings, check-ins and director/audit events.

Live video and audio. If a user chooses to broadcast, the app uses the device camera and microphone. Live video may be delivered through BilliardHutch's video infrastructure and third-party video delivery providers. Music Guard may analyze microphone audio on the device for the purpose of controlling outgoing stream audio.

Technical information. BilliardHutch and its infrastructure providers may process normal technical information needed to operate a network service, such as request logs, timestamps, IP/network information, errors and service-security events.

How information is used

Information is used to authenticate accounts, operate player/team directories, assign matches, run tournaments and leagues, deliver live streams, protect the service from misuse, troubleshoot failures and improve BilliardHutch Live.

Public and private information

Public player records are intended for billiards identity and competition information. Email addresses and authentication credentials are not intended to be public player-directory fields. Competitive authority fields such as official ratings, eligibility, verification and administrative roles are controlled separately from ordinary player profile edits.

BilliardHutch Juniors

Junior eligibility information is private. When BilliardHutch Juniors enrollment is enabled, information needed to determine junior-event eligibility may include a date of birth, country/region, approved age band, consent state and cue-sport disciplines. Private eligibility information is intended to be stored separately from the ordinary public player-directory record.

Public junior profiles are minimized. A public BilliardHutch Juniors profile is designed to use a player ID, display name, country/region, event-approved age band, supported cue-sport disciplines, rankings and competition history. It is not designed to publish a junior player's full date of birth, guardian contact information, home address, exact home location or private school information.

Guardian permissions are separate. Where a junior program, event or applicable rule requires parent or guardian permission, that permission must be handled separately from the junior player's ordinary profile edits. A junior player should not be able to approve their own required guardian consent.

Public profile and livestream permissions are separate. A junior may be eligible to compete without automatically being listed publicly or approved for a public livestream. Junior livestream authorization is treated as a separate permission when required by the applicable junior policy or event.

Country and event rules may differ. BilliardHutch Juniors is designed to support country-, region-, governing-body- and event-specific age bands and permission rules rather than assuming one rule applies worldwide.

More information about the program is available on the BilliardHutch Juniors page.

Streaming profiles and stream keys

When a user saves an external RTMP profile in the Android app, the profile may include a stream key stored locally on that device. BilliardHutch Live is configured to exclude saved streaming profiles from Android cloud backup and device-transfer backup.

Service providers

BilliardHutch Live currently uses infrastructure that may include Google Firebase for authentication/cloud data, Vercel for website/API hosting and Mux for live-video infrastructure when direct BilliardHutch streaming is enabled. Those providers process data according to their own service and privacy terms.

Data retention

Information is retained as needed to operate accounts, tournaments, leagues, match history, safety/audit records and other BilliardHutch features. Some records may need to be retained after an account-deletion request when required for security, fraud prevention, financial/legal obligations or integrity of completed competition records. Public-facing personal information should be removed or de-identified when it is no longer needed.

Account and data deletion

Users may request deletion of their BilliardHutch Live account and associated personal information through the Account & Data Deletion page. Some completed tournament/league records may be retained in de-identified or integrity-preserving form where necessary to keep official competition history accurate.

Children and younger players

BilliardHutch does not intend to make sensitive information about younger players public. Junior features are designed around age-appropriate permission, data minimization and separate private eligibility records. BilliardHutch Juniors enrollment and public/live participation should be enabled only through workflows that provide the permissions and safeguards required for the applicable player, event and location.

Security

BilliardHutch uses authentication, access rules and other technical controls intended to limit access to account and competition data. No networked service can guarantee absolute security.

Changes to this policy

This page will be updated when BilliardHutch Live materially changes its data practices. The effective date at the top will be updated when the policy changes.
